Thank you for choosing Crystal Lake Travel Agency, Inc. (“Crystal Lake Travel,” “CLT,” “we,” “us,” or “our”) to assist with your travel arrangements. We look forward to helping you plan your trip. Please review the following Terms & Conditions carefully, as they explain important information about your reservation, payment obligations, travel suppliers, and responsibilities as a traveler.
By working with Crystal Lake Travel Agency, Inc., you acknowledge that you have been provided access to these Terms & Conditions and agree to them to the extent permitted by applicable law.
Passports, Visas, and International Travel Documents
Travelers are responsible for obtaining and maintaining all required travel documents, including valid passports, visas, entry permits, and any other documents required for their itinerary.
For international travel, many destinations require a passport to be valid for a specified period beyond the dates of travel, often six months. Requirements vary by destination and may change without notice. Travelers should verify the current requirements with the appropriate government authorities and destination officials before departure.
Crystal Lake Travel can provide general guidance regarding travel documentation but cannot guarantee entry into any destination or assume responsibility for a traveler’s failure to obtain the required documents. Missing, expired, or incorrect documentation may result in denied boarding, denied entry, additional expenses, or forfeiture of travel arrangements.
Domestic Identification Requirements
Travelers are responsible for carrying identification that meets the requirements of their airline, transportation provider, and applicable government authorities. Identification requirements may change, so travelers should confirm the current requirements before departure.
Failure to present acceptable identification may result in denied boarding or other travel disruptions for which the traveler may be responsible.
Travel Suppliers and Crystal Lake Travel’s Role
Crystal Lake Travel acts as a travel advisor and booking agent when arranging travel through independent suppliers, which may include airlines, cruise lines, hotels, resorts, tour operators, transportation providers, excursion companies, and other travel-related businesses.
These suppliers are independent businesses and are responsible for providing their respective services. Their services are subject to their own terms, conditions, policies, and restrictions.
Although Crystal Lake Travel works to assist clients and provide accurate information, we do not own, operate, control, or manage these suppliers. We cannot guarantee their performance, schedules, facilities, services, or decisions.
We will make reasonable efforts to assist clients when issues arise, but supplier decisions and remedies are generally governed by the applicable supplier’s policies.
Cancellations and Changes
Crystal Lake Travel Agency, Inc. charges the following agency service fees for changes or cancellations to existing reservations:
- Cancellation fee: $50 per person.
- Change fee: $25 per person.
These agency fees are separate from any cancellation penalties, change fees, fare differences, deposits, or other charges imposed by the applicable travel supplier. Supplier fees may be substantial and may increase as the departure date approaches.
Some reservations may be nonrefundable or subject to strict cancellation deadlines. Changes to names, travel dates, destinations, flights, accommodations, or other arrangements may not be permitted or may result in additional costs.
All cancellation and change requests should be submitted directly to Crystal Lake Travel in writing whenever possible. A request is not considered confirmed until the applicable supplier has processed it and the revised arrangements have been communicated.
Agency fees may apply as described above, subject to applicable law and any written booking-specific terms that apply.
Deposits, Final Payments, and Payment Deadlines
Deposits and final payments must be received by the deadlines established by the applicable travel supplier. Some suppliers require full payment well in advance of departure.
Failure to make a required payment on time may result in cancellation of the reservation, loss of deposits, additional fees, or other penalties imposed by the supplier.
Crystal Lake Travel may provide payment reminders as a courtesy. However, clients are ultimately responsible for knowing and meeting all payment deadlines, even if a reminder is not received.
Payments will be processed using a payment method authorized by the client. A card on file does not, by itself, authorize every possible future charge. Any charge must be consistent with the client’s payment authorization and applicable booking terms.
Any additional agency fees will be communicated as applicable and charged only when properly disclosed and permitted by law.
Credit Card Authorizations and Payment Disputes
Clients are responsible for ensuring that payments authorized for their travel arrangements are valid and that sufficient funds or credit are available when payments are due.
If a client has a question or concern about a charge, we encourage them to contact Crystal Lake Travel so we can review the transaction and attempt to resolve the matter. This does not limit any rights the client may have to dispute a charge with their card issuer or financial institution.
A chargeback or payment dispute does not automatically cancel an underlying payment obligation for a valid, authorized charge. Crystal Lake Travel may provide booking records, payment authorizations, supplier confirmations, and other relevant documentation when responding to a payment dispute.
To the extent permitted by applicable law and card-network rules, clients may be responsible for reasonable, documented fees or costs directly resulting from an improper or unsuccessful payment dispute. Such fees will not be imposed where prohibited by law or applicable card-network requirements.
Travel Protection and Insurance
Crystal Lake Travel strongly recommends that clients consider purchasing appropriate travel protection, including coverage for trip cancellation, trip interruption, emergency medical expenses, medical evacuation, travel delays, and lost or delayed baggage.
Travel protection policies vary considerably. Clients are responsible for reviewing the policy terms, coverage limits, exclusions, pre-existing-condition provisions, eligibility requirements, and deadlines before purchasing a policy.
Unless expressly agreed otherwise in writing, Crystal Lake Travel does not act as the insurer and cannot guarantee that a particular claim will be covered or paid. Insurance coverage and claims decisions are determined by the insurance provider.
If a client declines travel protection, the client accepts responsibility for understanding the potential financial consequences of cancellations, interruptions, emergencies, and other unforeseen circumstances.
Travel Documents and Itinerary Review
Clients are responsible for reviewing booking confirmations, invoices, tickets, itineraries, and other travel documents upon receipt.
Please check all traveler names, dates, destinations, flight details, room categories, cruise cabins, occupancy arrangements, and other reservation information carefully. Names should match the applicable travel identification requirements.
Any errors or discrepancies should be reported to Crystal Lake Travel promptly so we can determine whether a correction is possible. Some corrections may involve supplier fees or other costs.
Travel documents are generally provided when available from the applicable supplier. For many trips, final documents are received approximately two weeks before departure, but timing varies by supplier and itinerary.
Clients should contact us if expected documents have not arrived or if they have questions about their travel arrangements.
Baggage, Airline Seats, and Additional Fees
Airlines and other travel suppliers establish their own policies regarding baggage allowances, checked-bag fees, carry-on restrictions, seat assignments, preferred seating, onboard services, and other optional amenities.
These policies may vary by airline, fare type, destination, and itinerary. Some services may involve additional charges, including charges for services that were previously included in a fare.
Crystal Lake Travel cannot guarantee specific seats, baggage allowances, upgrades, or other airline amenities unless the supplier has confirmed them. Clients are responsible for reviewing applicable policies and fees before departure.
Airline Schedule Changes, Delays, and Cancellations
Airlines may change flight schedules, departure times, arrival times, aircraft, seat assignments, or routes after a reservation has been confirmed. Flights may also be delayed, canceled, diverted, or affected by operational disruptions, weather, staffing, or other circumstances.
Crystal Lake Travel will make reasonable efforts to assist clients when we are notified of a disruption and assistance is available. However, we cannot guarantee that we will receive advance notice of every change or be able to resolve every issue.
Clients should monitor their flight status directly with the airline, particularly during the days leading up to departure and while traveling. Airline policies govern rebooking, refunds, compensation, and other remedies.
If a flight change affects a connecting flight, cruise departure, tour, hotel stay, or other travel arrangement, clients should contact the appropriate supplier and Crystal Lake Travel as soon as possible.
Airline Check-In and Mobile Applications
Clients are responsible for completing airline check-in and meeting the airline’s deadlines for check-in, baggage drop-off, boarding, and document verification.
We recommend downloading the airline’s official mobile application when available and reviewing flight information regularly. Mobile applications may provide updates about gate changes, delays, seat assignments, and other important information.
Crystal Lake Travel cannot guarantee that airline systems or mobile applications will operate without interruption or that every notification will be received.
Airport Arrival Times
Clients should arrive at the airport with sufficient time to complete check-in, baggage drop-off, security screening, immigration, and other required procedures.
Recommended arrival times vary by airport, airline, destination, and itinerary. Travelers should confirm the airline’s current guidance and allow additional time during busy travel periods.
Failure to arrive on time or meet airline deadlines may result in denied boarding, missed flights, additional expenses, or forfeited arrangements.
Hotel and Resort Check-In
Hotels and resorts establish their own check-in and check-out times, minimum age requirements, identification requirements, deposit policies, incidental holds, and other property rules.
A valid credit card may be required at check-in for incidental expenses or security deposits, even when the room has been prepaid.
Early check-in, late check-out, adjoining rooms, specific room locations, bedding configurations, and other special requests are generally subject to availability and are not guaranteed unless confirmed in writing by the property.
Clients are responsible for reviewing the property’s policies and settling any charges incurred during their stay.
Dress Codes and Property Policies
Some hotels, resorts, restaurants, cruise ships, tours, and other venues have dress codes, age restrictions, behavioral policies, or other participation requirements.
Clients are responsible for reviewing and following the rules that apply to their travel arrangements. Failure to comply with a supplier’s policies may result in denied access, removal from a venue, or other consequences imposed by the supplier.
Minors Traveling
Parents or legal guardians are responsible for ensuring that minors have the required identification, passports, visas, consent letters, and other documentation for their itinerary.
Additional documentation may be required when a minor travels with only one parent, with another adult, or without a parent or legal guardian. Requirements vary by destination, transportation provider, and the circumstances of the trip.
Clients should verify these requirements with the appropriate government authorities and travel suppliers well before departure.
Honeymoon, Anniversary, and Special Occasion Benefits
Clients should inform Crystal Lake Travel of any honeymoon, anniversary, birthday, or other special occasion at the time of booking so that relevant requests can be communicated to the supplier.
Special amenities, upgrades, gifts, discounts, and other benefits are determined by the supplier and may be subject to eligibility requirements, proof of the occasion, availability, and other restrictions. Such benefits are not guaranteed unless confirmed by the supplier.
Special Requests, Accessibility, and Medical Needs
Clients should advise Crystal Lake Travel of relevant travel needs or requests as early as possible, including mobility assistance, dietary requests, room accessibility, medical equipment, or other accommodations.
We can communicate requests to suppliers and assist with gathering information, but we cannot guarantee that every request will be approved or fulfilled. Availability, accessibility standards, and accommodation procedures vary by supplier and destination.
Clients are responsible for confirming directly with the applicable supplier that their needs can be accommodated and for making appropriate arrangements before travel.
Travelers should consider their own health, mobility, and medical needs when selecting travel arrangements and activities.
Personal Belongings, Health, and Safety
Clients are responsible for safeguarding their passports, identification, money, valuables, medications, and personal belongings while traveling.
Travelers should take reasonable precautions, follow local laws and safety guidance, and review relevant destination advisories before departure. Activities such as excursions, water sports, outdoor adventures, and other recreational experiences may involve risks.
Clients are responsible for deciding whether an activity is appropriate for their individual circumstances and for following instructions provided by the activity operator.
Crystal Lake Travel cannot guarantee the safety, security, or suitability of every destination, accommodation, transportation service, or activity. Nothing in these Terms & Conditions is intended to waive rights or remedies that cannot legally be waived.
Force Majeure and Unforeseen Circumstances
Travel arrangements may be affected by events beyond the control of Crystal Lake Travel or the applicable supplier, including severe weather, natural disasters, public health emergencies, government actions, war, civil unrest, strikes, transportation disruptions, or other unforeseen circumstances.
Such events may cause delays, cancellations, itinerary changes, service interruptions, or additional expenses.
Supplier policies and applicable law determine what changes, refunds, credits, or other remedies may be available. Crystal Lake Travel cannot guarantee a refund, reimbursement, or alternative arrangement when travel is disrupted by these events.
We will make reasonable efforts to assist clients in understanding available options when assistance is possible.
Communication and Assistance
Crystal Lake Travel strives to provide helpful service before, during, and after travel. Our ability to assist may depend on business hours, supplier availability, the nature of the issue, and the timing of the request.
Clients should contact us promptly when they become aware of an issue with a reservation. For urgent, day-of-travel matters such as missed flights, immediate airline disruptions, or an issue requiring immediate supplier action, clients may need to contact the airline, hotel, cruise line, tour operator, or other supplier directly using its official support channels.
We will make reasonable efforts to assist when possible, but we cannot guarantee immediate availability or a particular outcome.
Limitation of Responsibility
Crystal Lake Travel Agency, Inc. acts as a travel advisor and booking agent for independent travel suppliers. To the extent permitted by applicable law, Crystal Lake Travel is not responsible for the acts, omissions, errors, representations, defaults, or failures of independent suppliers, including changes to services, delays, cancellations, overbookings, injuries, property loss, or other events arising from supplier operations.
Crystal Lake Travel is not responsible for circumstances beyond its reasonable control or for expenses, losses, or disruptions resulting from a traveler’s failure to follow supplier requirements or provide accurate information.
Nothing in these Terms & Conditions excludes or limits any liability or legal right that cannot lawfully be excluded or limited. Any limitation of liability applies only to the extent permitted by applicable law.
Supplier Terms, Price Changes, and Unused Arrangements
All reservations are subject to the terms, conditions, rules, and restrictions of the applicable travel suppliers. These may include deposit requirements, payment deadlines, cancellation policies, refund restrictions, baggage rules, minimum age requirements, and other booking conditions.
Prices and availability may change until the applicable supplier confirms a reservation and any required payment has been received. Even after booking, certain supplier charges, taxes, surcharges, or other costs may change when permitted by the supplier’s terms and applicable law.
If a supplier changes or discontinues a service, the options available to the client will generally be determined by the supplier’s policies and applicable law. Crystal Lake Travel will make reasonable efforts to communicate material changes when we receive notice.
Unless the applicable supplier’s terms or applicable law provide otherwise, unused portions of a trip, including missed flights, unused hotel nights, missed excursions, or voluntarily abandoned travel arrangements, may be nonrefundable.
Group Bookings
For group bookings, the person coordinating the reservation is responsible for providing accurate traveler information and ensuring they have the authority to make booking decisions on behalf of anyone they represent. Crystal Lake Travel Agency, Inc. encourages group organizers to share these Terms & Conditions and all relevant travel information with the other travelers in their group. Each traveler is responsible for reviewing the terms and requirements applicable to their own travel arrangements. A group organizer is not automatically financially responsible for other travelers unless this responsibility has been specifically agreed to in writing.
Entire Agreement and Severability
These Terms & Conditions, together with the applicable booking confirmation, payment authorization, supplier terms, and any additional written terms agreed to for a particular booking, describe the terms applicable to the travel arrangements.
If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
Any amendment or additional agreement specific to a booking should be documented in writing.
